Instant fixed-fare quotes for taxis and airport transfers across the UK.

CabsOn is a UK licensed taxi operator that inbound tourism companies — destination management companies (DMCs), overseas tour operators and travel agents booking UK arrivals — use to move guests across Britain on structured multi-city itineraries. We provide English-speaking drivers, fixed GBP fares confirmed in writing before the trip, one consolidated VAT invoice per month covering every ride your account books, and a UK-based dispatch desk that talks directly to your operations team by email, WhatsApp or phone. We work with DMCs booking groups of two to eight passengers per vehicle, VIP transfers for high-net-worth clients, and full multi-city itineraries covering London, Manchester, Edinburgh, Bath, York, Oxford, Cambridge, Windsor, Stratford-upon-Avon and the Cotswolds. A single itinerary is booked once and paid once — we handle the driver briefing, airport meet-and-greet with a named board, guest handover between cities and any waiting-time changes on the day. If your guests are landing at Heathrow, Manchester or Edinburgh airports and moving between British destinations across a week or ten days, you need reliable ground transport with licensed drivers, clear pricing in pounds sterling, and one point of contact for the entire trip. That is the corporate account we offer. Every ride is completed by a driver licensed by a UK council, in a vehicle covered by public hire or private hire insurance appropriate to its class, tracked live and shareable with your ops desk on request. We do not sell tour guiding, we sell reliable ground transport for the tour product you already sell.
## How do UK inbound tour operators book multi-city taxi transfers through CabsOn? Most DMCs come to us with an itinerary already built — an eight-day Britain and Ireland tour, a five-day Cotswolds and London round trip, a Manchester–Edinburgh–London corporate incentive. Send that itinerary to your account manager in any format that suits your workflow: an Excel sheet, a PDF proposal, a shared calendar, or a booking pulled straight from your reservations system through our API. We return one written confirmation covering every leg, with fixed GBP fares per leg, the driver assignment window, meet-and-greet points at each airport or hotel, and a total for the itinerary that your finance team can present against the client's deposit. Once confirmed, the itinerary lives in the business.cabson.uk portal. Your ops staff can see the whole plan, download it, share it with the guest, or push edits directly. Nothing needs to be rebooked leg by leg unless a whole new destination is added. ## What does a CabsOn multi-city tour itinerary actually include? Every itinerary we run for an inbound tour operator includes airport arrival with meet-and-greet, transfer to the first hotel with luggage assistance, transfers between cities on the days scheduled, city tour transport where the same driver stays with the group across a day of attractions, and the final departure transfer back to the airport. Between those we build in the small operational details tour operators normally have to manage themselves: driver briefings on the guest name and language preferences, restaurant transfers on evenings requested, station-to-hotel legs when a leg is more efficient by train than by road, and coordinated pickup windows so a group leaving Edinburgh on the morning train is met by a fresh driver at York or London Kings Cross without a rank queue. We do not sell scripted commentary as part of the ride and we are clear about that with your guests. Our drivers are courteous, know their local area, and will happily point out landmarks — but the tour product remains yours. ## Do you provide English-speaking drivers for international guests? Yes, and we specifically confirm this in writing on inbound tourism itineraries. Every driver on the CabsOn platform holds a UK council taxi or private hire licence, which requires a working English language test as part of the safeguarding assessment. For DMC bookings we go further and match itineraries to drivers our dispatch team has personally worked with on tour groups, so the driver is comfortable explaining timings, giving directions to a guest walking to a hotel entrance, and handling routine questions about UK context — plug sockets, tipping, opening times of nearby attractions, weather. Where a party's English is very limited we can also request a driver with a second common language (French, Spanish, Arabic, Mandarin, Urdu, Hindi) although we cannot guarantee this across every UK city on every date and will confirm on itinerary review. ## How are fixed fares set for tour group bookings? Our fares for tour itineraries are quoted per leg in pounds sterling and fixed at the moment of confirmation. Once confirmed, the fare for a Heathrow to central London executive transfer at 09:30 on a Tuesday does not change if the M4 is heavier than expected, if the ride takes forty minutes longer than the estimate, or if the guest asks the driver to pause briefly on the way. The number we quote is the number that appears on the invoice. Where costs can legitimately move — extended waiting beyond the included grace period, an unplanned stop the guest requests on the day, a change from sedan to executive MPV because a family adds a fifth passenger — we quote the change before we do the work and only add it to the invoice with your account manager's agreement. There are no surge multipliers on pre-booked itinerary work. ## Which UK cities and regions do you cover for inbound tourism? Our core coverage for inbound tour operators is London (including all five London airports), Manchester, Birmingham, Liverpool, Leeds, Edinburgh, Glasgow, Bristol, Bath, York, Oxford, Cambridge, Windsor, Stratford-upon-Avon, the Cotswolds, and the Lake District entry points at Windermere and Kendal. We link these cities directly by road with a single driver where the leg makes sense (Windsor to Oxford, Bath to the Cotswolds, York to Edinburgh), and coordinate with rail where the leg is significantly quicker by train (Manchester to London, Edinburgh to London). In practice most inbound itineraries we handle are a mix. Northern Ireland transfers from Belfast International or George Best Belfast City are handled through partner operators under the same CabsOn corporate account and invoice, so from your side it looks and pays like a single UK service. ## How do you handle VIP and high-net-worth guest transfers? For VIP work we default to executive class vehicles — Mercedes E-Class, S-Class, BMW 5 or 7 Series, or Mercedes V-Class and Vito for small parties with luggage. Where the guest values continuity, we dispatch the same vetted driver across the whole multi-day itinerary rather than passing them between different drivers at each city, which matters for repeat VIP travel and family bookings. Drivers on VIP itineraries are briefed on the guest's name, preferred greeting language, luggage handling preferences and any restrictions around music, temperature and stops. Where a family or delegation prefers, we can arrange discreet meet-and-greet away from the main arrivals hall in coordination with the airport. We are honest about what we are not: a chauffeur company with liveried drivers in peaked caps is a different product. If that specific formality matters to your client we will say so upfront and can refer you to specialist partners. What we do provide is consistent, safe, well-vetted executive ground transport at a fair fixed price on an inbound multi-city itinerary. ## What happens when flight times change or itineraries shift on the day? Inbound tourism has moving parts and we plan for that. Our dispatch team monitors every inbound flight against the assigned meet-and-greet. If a flight lands early or late within a normal range we absorb the wait at no extra charge. If a leg on the itinerary needs to move — the guests want an extra hour at Blenheim Palace, the London-to-Bath leg needs to shift from morning to afternoon, a Manchester day needs an added evening restaurant transfer — one message to your account manager reroutes the ride. You do not have to re-enter each leg into an app. Where a change adds cost (extra waiting, extra stop, larger vehicle) we quote before we act. Where a change reduces cost or a leg cancels within our standard cancellation windows, that reduction flows into the monthly invoice as a credit. ## How does monthly invoicing work for an inbound tour operator? We issue one consolidated VAT invoice on the first working day of each month covering every ride your account booked in the previous calendar month. Each ride line shows date, guest name reference, pickup, drop-off, vehicle class, base fare, any add-ons, and UK VAT at 20 percent broken out separately. The invoice is downloadable as PDF and CSV from the business portal or emailed to your accounting inbox on issue. For overseas DMCs, settlement is in GBP by bank transfer against the invoice. We can also accept corporate cards, and for established partners we operate 30-day payment terms. VAT paid by an overseas business on UK-consumed services can be reclaimed under the HMRC overseas business VAT refund scheme, and our invoices carry the itemisation HMRC requires for that claim. ## What licensing and insurance sits behind every ride? Every vehicle we dispatch is either publicly licensed (taxi/hackney carriage) or privately hired through a licensed operator, in either case with council-issued badges displayed. Drivers hold current DBS-equivalent background checks, valid UK driving licences, and public liability and passenger indemnity insurance appropriate to the vehicle class. Where an itinerary crosses licensing boundaries, we assign drivers licensed for the pickup council so the leg is compliant from the moment the guest steps in. ## How does CabsOn compare with using local taxi ranks at each stop on an itinerary? Honestly, taxi ranks work for a single hop by a savvy traveller. They fall down on a structured tour: no continuity of driver, no guarantee the driver's English will be strong on a given day, no unified paperwork for your finance team, and no accountability if something goes wrong halfway between cities. A CabsOn corporate account trades a slight per-leg price premium over the cheapest rank fare for continuity, English-speaking drivers throughout, a single UK point of contact, and one clean VAT invoice at the end of the month. For a one-off traveller a rank is fine. For an inbound tour operation moving guests across the UK week after week, the account model is the one that actually scales.
**Integrations, tooling and operational depth for inbound tour operators** Beyond the booking itself, we invest in the connective tissue that DMC operations teams actually spend their days inside. Every corporate account gets a business portal at business.cabson.uk with named traveller records, department and cost-centre splits, spend approvals for larger group movements, budget caps per tour or per season, downloadable invoices, and consolidated reporting by traveller, itinerary, city or vehicle class. Your ops staff log in with their own credentials — not a shared inbox — and we support Google Workspace and Microsoft 365 SSO so provisioning matches your existing user directory. For higher-volume DMCs we offer API access. Once a partnership is set up, your itinerary system or reservations platform can create bookings, retrieve fare quotes, subscribe to status webhooks (driver assigned, en route to pickup, guest onboard, dropped off) and pull invoices programmatically. This suits DMCs building a UK product inside a wider European itinerary tool who want the transfers to appear as first-class inventory rather than an email chain. Payment can be settled in GBP by bank transfer against the monthly VAT invoice, by corporate card, or — for well-established partners — on 30 day terms. We handle VAT at the standard 20 percent UK rate and itemise it per ride on the invoice, so if your finance team needs to reclaim UK VAT under an overseas business VAT refund scheme they have the paperwork ready. Currency conversion sits with your bank; our prices are always quoted, contracted and invoiced in pounds sterling. We take GDPR seriously. Guest personal data (name, phone, sometimes flight number) is only retained for the duration of the booking plus the periods HMRC requires for accounting records, and is deleted from active systems on schedule. Drivers see only the passenger name, pickup and drop-off — never the corporate account holder's contact details or downstream billing. On the ground, our operations desk in the UK is reachable by dedicated WhatsApp for account holders, by email and by phone from 06:00 to midnight UK time, with an out-of-hours escalation for live guest issues. If a flight lands early, if a group extends a museum stop by an hour, or if a VIP requests a switch from sedan to executive MPV mid-trip, one message to your account manager reroutes the ride — you do not have to open the app and rebook. Where an inbound flight is delayed, the ride waits without extra charge for standard delays and we notify you of any exceptions before they become a bill line.

FAQs

Frequently asked questions

Do CabsOn drivers speak English well enough to guide international guests between UK cities?

Every driver on our platform holds a UK council taxi or private hire licence, which requires a working English language test. For inbound tourism bookings we specifically assign drivers with fluent conversational English who are used to explaining directions, timings and simple UK context to overseas guests. We do not train drivers as tour guides and do not price them as such.

Can I book a full multi-city UK itinerary for a tour group in one confirmation?

Yes. Send us the itinerary in any format — spreadsheet, PDF, email — and we return one written confirmation covering every leg with fixed GBP fares, driver assignment windows and meet-and-greet points. Changes during the trip are handled by your account manager, not by rebooking each leg.

Are the fares you quote for tour bookings truly fixed, or do they change with traffic and time?

For pre-booked tour itineraries the quoted GBP fare is fixed at the time of confirmation and does not change if the route encounters traffic or the ride takes longer than expected. Extras such as extended waiting time beyond a defined grace period, or additional stops not on the original itinerary, are charged transparently at agreed hourly or per-stop rates.

Which UK cities and regions do you cover for inbound tour operators?

We cover London, Manchester, Birmingham, Edinburgh, Glasgow, Liverpool, Leeds, Bristol, Bath, York, Oxford, Cambridge, Windsor, Stratford-upon-Avon, the Cotswolds, Lake District entry points and all major UK airports. Multi-city itineraries linking these regions are our core inbound tourism product.

How do you handle airport meet-and-greet for arriving tour groups?

For every airport arrival we assign a named driver, monitor the inbound flight, and meet guests in the arrivals hall holding a sign with the party name or your DMC branding. The driver assists with luggage to the vehicle. Standard waiting time is included; if a flight lands very late we do not charge for the delay.

Do you provide vehicles for VIP or high-net-worth guests specifically?

Yes. Our executive class covers Mercedes E-Class, S-Class and equivalent, and V-Class or Vito for small groups with luggage. We can dispatch the same vetted driver across an entire multi-day itinerary so the guest is not passed between different people at each city change, which matters for repeat VIP travel.

How does invoicing work when our DMC is based outside the UK?

We issue one consolidated VAT invoice on the first working day of each month covering every ride in the previous calendar month, itemised per ride with UK VAT at 20 percent shown separately. Overseas businesses can settle in GBP by bank transfer against the invoice, and can present the invoice to HMRC under the overseas business VAT refund scheme where applicable.

What happens if a guest changes their plans mid-itinerary?

Message your named account manager on WhatsApp, email or phone. Changes to pickup times, added stops, extended waiting, or switching from a sedan to a larger vehicle mid-trip are reassigned by our dispatch team without a fresh booking flow. Any fare adjustment is quoted before the change is confirmed so nothing appears on the invoice unannounced.

Do you handle group sizes larger than a single vehicle?

Yes. For groups above six or seven passengers we dispatch multiple vehicles as a convoy with a lead driver coordinating pickups, timings and drop-offs so the group stays together on route. For coach-scale groups above sixteen we work with vetted minibus and coach partners and manage the booking on your behalf under the same account and invoice.

Is our guest data protected under UK GDPR when we book through CabsOn?

Yes. We process guest personal data (name, phone, flight number) only for the booking and retain it for the accounting periods HMRC requires. Drivers see the passenger name and pickup and drop-off only, never the DMC contact details or downstream billing. We are registered with the UK ICO as a data controller.

Can our reservations system book CabsOn rides via API?

Yes, for volume DMC partners we provide API access covering fare quoting, booking creation, status webhooks (driver assigned, en route, guest onboard, completed) and invoice retrieval. API keys are issued from the business portal under your corporate account and scoped to your organisation only.

How is CabsOn different from booking a local taxi rank at each UK stop?

A local rank at each stop means separate cash payments, no continuity of driver, no guarantee an English-speaking driver is available and no consolidated paperwork for your finance team. A CabsOn corporate account gives you one confirmation, one invoice, English-speaking drivers throughout and a single UK point of contact for the whole trip.
