Medical patient transport taxi services in the UK are private hire journeys arranged by a clinic, dental practice or care provider to get a patient to and from an appointment, billed directly to the provider rather than paid by the patient at the roadside. At CabsOn we run this as a dedicated corporate account: your reception team, care coordinator or practice manager books through business.cabson.uk (or by email to our operations desk), the ride is dispatched to a driver trained in passenger assistance, and every journey rolls up into a single monthly VAT invoice you pay on 14 or 30 day terms. We support wheelchair-accessible vehicles (WAVs) as a guaranteed booking category, not a best-effort request, and we hold patient data to UK GDPR standards on UK-hosted infrastructure. Common users of our medical accounts include private GP and consultant clinics, dental groups arranging sedation-appointment transfers, hospices, residential and nursing care homes, and rehabilitation providers. We are a licensed private hire operator — we transport ambulant and wheelchair-using patients safely and comfortably, but we do not provide clinical care, medical equipment or supervision in transit. Where clinical supervision is required, NHS non-emergency patient transport (NEPTS) is the correct service, and we will tell you so rather than take a booking we should not accept. This page explains how the account works day-to-day, what we cost, and where we sit alongside your existing appointment and accounting systems.
## What is a medical patient transport taxi account? A medical patient transport taxi account is a corporate account held by a healthcare organisation — a private clinic, dental practice, hospice or care provider — that allows nominated staff to book taxis for patients on the organisation's behalf. The patient does not pay, does not need to have the app installed, and does not need to have a card on file. The provider is billed monthly and settles a single VAT invoice. At CabsOn we treat these accounts as a distinct product rather than a generic business account with a "medical" label attached, because the requirements are genuinely different: wheelchair-accessible vehicles have to be a guarantee not a preference, drivers need passenger-assistance training, data handling has to satisfy a DPO who is used to clinical-adjacent scrutiny, and billing has to align cleanly with practice accounting software. ## Who typically opens a CabsOn medical account? The three most common categories are private medical practices (private GPs, consultant clinics, physiotherapy and rehabilitation providers), dental clinics (particularly for sedation appointments where the patient cannot legally drive home), and elderly care providers (residential care homes, nursing homes, home-care agencies, hospices). Occasionally we also serve occupational health providers arranging employee assessments and IVF clinics arranging cycle-related travel. The common thread is a duty of care to the patient combined with an operational need for reliability. A sedation dental appointment cannot proceed if the escort transport does not arrive, and a care home cannot send a resident to hospital in a vehicle that turns out not to have wheelchair access. ## How do we handle wheelchair-accessible bookings? When a booker selects a wheelchair-accessible vehicle, the ride is routed only to drivers whose vehicle is registered on our platform as a WAV — typically a converted Peugeot, Volkswagen, Ford or Mercedes with a rear ramp and floor-anchored securement points. If no WAV is available at the requested time in the requested area, we tell you at the point of booking. We do not accept the booking and then quietly downgrade the vehicle at dispatch, which is a common complaint about generic taxi apps used ad hoc for patient transport. Drivers accepting WAV bookings have completed a passenger-assistance module covering safe ramp operation, wheelchair positioning and securement using the four-point anchored restraint, and communication with passengers who have hearing, vision or cognitive impairments. Manual chairs, powered chairs and folding walkers are all accommodated. Bariatric requirements should be flagged when the account is set up so we can confirm suitable vehicle availability in your area. ## How does monthly VAT invoicing work for medical accounts? We consolidate every ride booked against your account into one PDF invoice on the 1st of each month, covering every ride in the previous calendar month. Each line shows the date and time, pickup and destination, patient reference (as your booker entered it — many practices use initials plus an internal ID rather than the full name, and that is fine), fare, and 20 percent VAT shown separately. The invoice is also available as CSV so your bookkeeper can import it directly into Xero, QuickBooks or Sage without re-keying. Invoices are downloadable from the corporate portal and, if you prefer, emailed automatically to a dedicated accounting inbox on the day of issue. Payment terms are 14 or 30 days on approved accounts, and we accept bank transfer, direct debit and card payment for account settlement. Purchase-order numbers, department cost-centres and per-department budgets are all supported, which matters if you are a multi-site care group needing to attribute rides to a specific home. ## How is patient data protected? We are UK GDPR compliant, we host data on UK infrastructure, and we ask for the minimum information required to complete the ride. That means pickup and destination address, a name or reference for the driver to greet, a mobility flag if a WAV or extra assistance is needed, and a contact number your reception team or the patient's family can be reached on at pickup. We do not ask for and do not want the reason for the appointment. If your organisation is running a Data Protection Impact Assessment — as any healthcare provider should when introducing a new supplier that touches patient data — we can provide a written data-processing summary describing what we hold, retention periods, sub-processor use, and how a subject-access request would be actioned. Your DPO can attach this to the DPIA directly. ## How does CabsOn compare to NHS non-emergency patient transport? Honestly, they solve different problems and we would encourage anyone thinking about patient transport to be clear which one they actually need. NHS non-emergency patient transport (NEPTS) is a clinical transport service with trained ambulance care assistants, stretcher capability where required, oxygen, and formal medical handovers at both ends. It is the correct answer for patients whose condition means they need supervision or equipment during the journey. It is free at the point of use for eligible patients and access is through the NHS. CabsOn is a licensed private hire taxi service. We are the correct answer when the patient is ambulant or a wheelchair user, does not need clinical supervision, and simply needs safe, comfortable, reliable transport to a private appointment. We are typically faster to book, easier to bill through a private practice, and better suited to routine appointment travel. But we are not a substitute for NEPTS where NEPTS is clinically appropriate, and we will decline bookings we believe should go through the NHS instead. ## What does it cost? Fares match our standard private hire pricing for the vehicle category and route — we do not add a medical surcharge, and monthly invoicing is not billed as a separate service fee. WAV bookings are priced against our standard WAV tariff, which reflects the higher operating cost of an accessible vehicle. Waiting time at pickup is included for the first fifteen minutes for return journeys from a clinic; standard per-minute waiting time applies beyond that. For volume accounts — typically care groups running several sites or clinics booking several rides per week — we agree fare rebates against previously agreed monthly spend thresholds. These are negotiated during account setup rather than published as a public rate card, because they depend on your route mix. ## How do you set up recurring dialysis, oncology or physio schedules? Recurring rides are configured once and then reproduce automatically until you edit or end the schedule. For a dialysis patient attending three times a week, the booker sets the schedule (patient reference, pickup, destination, vehicle category, notes) and the rides appear as confirmed bookings in the portal each week. When the treatment pattern changes — a step-down from three to two sessions, or the addition of a return leg from a different address — the amendment is a single edit rather than a re-booking. For care providers with several patients on similar appointment cycles, we can pre-load the full schedule during a scheduled operations call and then hand day-to-day control to your care coordinator, who from then on only needs to notify us of changes. ## How do we open an account and start booking? Registration is at /corporate/register. You provide your organisation name, address, VAT number if applicable, and a nominated finance contact for invoicing. We verify the account, agree credit terms, and add the bookers your practice wants to authorise. Most single-site clinics are live within an hour. Multi-site care groups typically take one to three working days because we spend time configuring departments, budgets, address whitelists and approver chains before we hand over. Once live, you can start booking immediately through business.cabson.uk or by email. There is no minimum monthly spend and no exit fee if you decide the account is not right for you.
**Integrations and workflow detail** Guest booking sits inside the same corporate portal that handles staff bookings, so the operational plumbing is shared. When a booker creates a guest ride, it is written to the same bookings table as every other corporate journey and is visible in the Bookings list with a "Guest" traveller flag, the guest's name and mobile, the internal reference or PO you chose, and the department or cost centre it was assigned to. Approval rules, spend caps and preferred-vehicle policies configured under Budgets and Departments apply to guest rides in exactly the same way they apply to staff rides — a guest airport transfer that exceeds a department's monthly cap will trigger the same approval to the department owner before dispatch. For organisations that already run centralised logging or SIEM tooling — this section is not applicable in the medical context. The pertinent integrations for private clinics, dental practices and elderly care providers are around appointment-driven booking, accessibility-vehicle guarantees, and monthly VAT invoicing. Our approach is to slot into the systems your reception team, care coordinators or practice manager already uses, rather than replacing them. For appointment-driven bookings, the two most common patterns we support are (a) a member of your team booking through the business.cabson.uk portal, either one-off or as a repeating schedule against a named patient record, or (b) forwarding a booking request by email to a dedicated corporate address, which our operations team enters into your account and confirms back within minutes. For higher-volume providers such as care home groups arranging dozens of transports per week, we can arrange a scheduled discovery call to map your routine appointment days, GP practice rounds and dialysis or oncology slots so that recurring rides are pre-loaded rather than booked ad hoc each week. Data handling is treated as clinical-adjacent even though CabsOn is not a healthcare provider. We are UK GDPR compliant, we hold data on UK-hosted infrastructure, and the personal data we require to fulfil a ride is deliberately minimal: patient name (or an initial plus reference, if you prefer to pseudonymise), pickup and destination address, mobility requirements, and a contact number for the driver to reach at pickup. We do not require and do not want the medical reason for the appointment. If your practice operates under an NHS-adjacent Data Protection Impact Assessment, we can supply a data-processing summary describing what we hold, how long we hold it and who accesses it, which your DPO can attach to their DPIA. On accessibility, our wheelchair-accessible vehicles (WAVs) are booked as a specific vehicle category rather than being dispatched on a best-effort basis, so if you request a WAV you receive a WAV — we will not silently downgrade the booking to a saloon. Manual wheelchairs, powered wheelchairs and folding walkers are all accommodated, and drivers assigned to WAV bookings have completed passenger-assistance training covering safe transfer, securement using the anchored restraint system fitted to the vehicle, and how to communicate with passengers who have hearing, vision or cognitive impairments. Direct billing is the norm for medical accounts. We consolidate every ride booked against your account into a single monthly invoice covering the previous calendar month, itemised per ride with pickup, destination, patient reference (as you supplied it), fare and 20 percent VAT shown separately. Invoices are downloadable as PDF and CSV, so your bookkeeper can post them straight into Xero, QuickBooks or Sage without re-keying. Payment terms are 14 or 30 days on approved accounts. For clinics that want a stricter control on spend — for example, a hospice restricting rides to a specific list of patient destinations, or a care group capping monthly spend per home — the corporate portal supports departments (cost centres), per-department budgets with utilisation tracking, and pre-authorisation workflows where rides above a set value or outside allowed hours route to a named approver before dispatch.

FAQs

Frequently asked questions

Do CabsOn drivers know how to help elderly or mobility-impaired patients?

Drivers assigned to medical accounts receive passenger-assistance training covering safe wheelchair transfer, use of the vehicle's securement restraints, and communicating with passengers who have hearing, vision or cognitive impairments. We do not classify them as clinical staff — they will not administer medication or provide personal care — but they will assist door to seat and carry a folded walker or single piece of luggage.

Can you guarantee a wheelchair-accessible vehicle when we book one?

Yes. A wheelchair-accessible vehicle (WAV) is booked as a specific vehicle category, not as a preference. If you request a WAV, a WAV is dispatched. We will not silently downgrade the booking to a saloon car, and if a WAV is not available in your area at the time you need, we tell you at the point of booking rather than at pickup.

How does billing work for a private medical practice?

We consolidate every ride booked against your account into a single monthly PDF invoice covering the previous calendar month, itemised per ride with pickup, destination, patient reference, fare and 20 percent VAT shown separately. Invoices are also available as CSV so your bookkeeper can import them into Xero, QuickBooks or Sage. Terms are 14 or 30 days on approved accounts.

Is CabsOn GDPR compliant for handling patient details?

Yes. We are UK GDPR compliant and data is held on UK-hosted infrastructure. The data we require to complete a ride is deliberately minimal — patient name or reference, pickup and destination, mobility need and a contact number. We do not ask for the medical reason for the appointment. On request, we supply a data-processing summary your Data Protection Officer can attach to their DPIA.

Can we set up recurring transport for regular dialysis or oncology appointments?

Yes. Recurring bookings are set up once, either through the business.cabson.uk portal or by arranging a scheduled call with our operations team, and then reproduce automatically on the days and times you have specified. Changes are easy — a patient moving from three sessions a week to two, for example, is a single edit rather than a re-booking.

What happens if a patient is running late leaving the clinic?

Return-journey drivers are held on standby for up to fifteen minutes at no additional charge once they arrive at the pickup. Beyond fifteen minutes, standard waiting time applies per minute. Reception staff can also request a driver on-demand once the patient is ready to leave, rather than committing to a fixed return time in advance.

Can we restrict which addresses our account can book to?

Yes, this is one of the most common controls medical accounts ask for. Through the corporate portal you can restrict bookings to a whitelist of clinic and hospital addresses, cap spend per care home or department, and require pre-authorisation from a named manager for any ride above a set fare threshold or outside allowed hours.

How do we get patients to and from an appointment when they cannot use a phone?

Bookings are made by your staff, not by the patient. The driver receives the pickup instructions in advance, including any specific note you add — for example, ring the reception intercom rather than the flat, or the patient will be waiting in the day-room. The driver's contact number is available to your reception team for that individual ride, so any handover can be coordinated staff-to-driver.

Do CabsOn vehicles carry medical equipment such as oxygen or defibrillators?

No, and we are careful not to imply otherwise. CabsOn is a licensed private hire operator, not a patient transport service in the NHS clinical sense. If a passenger requires medical equipment in transit or clinical supervision, non-emergency patient transport (NEPTS) via the NHS or a specialist provider is the correct service. Our role is safe, comfortable transport for ambulant and wheelchair-using patients who do not need clinical support.

How quickly can we open a medical account and start booking?

For most private practices, dental groups and small care providers, we can open an account, add your named bookers and set up direct billing in under an hour through business.cabson.uk. Larger providers with multiple sites or specific approval workflows typically take one to three working days, primarily to configure departments, budgets and any address whitelist you require.

Can family members receive updates on a patient's ride?

Yes, with your consent as the account holder. A tracking link containing the driver's live location and estimated arrival can be sent to a nominated family contact by SMS at pickup. The link is short-lived and expires when the ride ends, so contact details are not stored beyond the single journey.

Do you cover rural clinics and care homes outside major cities?

We cover the whole of the UK mainland through our operator network, though availability of wheelchair-accessible vehicles is stronger in and around major towns and cities. For a rural care home with routine appointments, we recommend a discovery call so we can confirm WAV availability against your usual pickup times before you commit patients to a schedule.
