If your estate agency needs a taxi for a day of property viewings across the UK, CabsOn lets you book one driver who waits between viewings and charges everything to your agency on a single monthly VAT invoice. This is the answer to the practical problem estate agents face every week: an agent has four or five viewings booked, they need to move a client between properties on a tight schedule, and dispatching a separate cab for each address wastes time, breaks the client's momentum, and multiplies the paperwork. We work with independent agencies, national chains, and prime London firms who arrange viewings for both domestic buyers and international clients. The setup is straightforward. You book once — typically the day before, though we can respond same-day in most cities — specifying the pickup address and the sequence of viewing addresses. The driver collects your agent (and often the viewer too), waits outside each property while the viewing takes place, and moves everyone to the next stop. Wait time is metered by the minute so you pay only for what you use. At month-end, every ride is consolidated into one PDF invoice with VAT itemised per journey, ready for your accounts team to reconcile against listings or client accounts. We are not the cheapest option for a single short ride — a lone Uber will usually beat us on a 10-minute hop. What we are built for is the multi-stop, time-sensitive, professionally accountable travel that estate agencies actually do: several viewings, one client, one invoice, no scrambling for individual receipts.
## How does CabsOn handle a full day of property viewings? We treat a day of viewings as one continuous booking with multiple waypoints, not as a series of separate trips. When you book through the CabsOn business portal, you enter the pickup point — usually the agent's branch, a client's hotel, or their home — and then list each viewing address in the order you plan to visit them. The driver is assigned once and stays with you all day. Between each viewing the meter switches from journey rate to wait rate, which is typically 30 to 45 pence per minute depending on city and vehicle class. This is materially cheaper than dispatching a fresh vehicle for each property, because you avoid the minimum fare and pickup surcharge every time. The agent controls the day from the app in their pocket. If a viewing runs long, the driver waits and the meter reflects it. If a viewer decides they want to see one more property nearby, the agent adds a stop live and the route recalculates. If someone cancels and drops out of the tour, the stop is removed. Everything that actually happens on the day appears on the eventual invoice, so there is a clean audit trail between what the client saw and what you paid for. ## Can we book the same driver for the whole day? Yes, and for property viewings this is our default. Continuity matters. Your client is meeting the driver at 9am and may still be in the same car at 4pm, so we assign a single driver for the duration. If the viewing day is unusually long — say a full 10-hour London-to-Cotswolds tour — we may arrange a driver changeover with prior notice, but for standard 4-to-6 hour viewing days you get one driver, one car, one continuous experience. We can also flag specific driver preferences on the booking: fluent English (default), Mandarin, Cantonese, Arabic, French, or Russian for overseas buyers where we can arrange it with advance notice. We do not guarantee language matching on short-notice bookings, but for planned viewing days with named international clients, our London and Manchester rosters have historically achieved this most of the time. ## How much notice do we need to give? For central London, Manchester, Birmingham, Leeds, Bristol and Edinburgh, we can usually respond to a multi-viewing booking within 2 hours. However, honestly, next-day is better and gives us more choice of driver. For prime instructions where the client is only in the country for a specific window, book 48 to 72 hours ahead so we can assign an executive-class vehicle and an experienced driver rather than whichever car is nearest. For rural viewings — country houses, farms, development land, listed properties in villages — we recommend at least 4 hours notice. Driver density is lower outside city centres and we need time to position the vehicle. If your agency regularly does rural viewings across a specific county, tell us and we can pre-position drivers for known viewing days rather than treating each booking as ad hoc. ## What does it actually cost compared to Uber, Bolt or Addison Lee? Honestly: for a single short viewing, an Uber will be cheaper. Where the maths changes is when you have three or more viewings in a day. A four-viewing day in London using separate Ubers typically costs between 90 and 140 pounds when you add up the minimum fares, surge pricing at midday, and the awkward wait time in between when the agent has to hail a fresh car with a client standing on the pavement. The same day booked with CabsOn as one journey with wait time consolidated is usually 60 to 95 pounds, and you get one VAT invoice rather than eight separate receipts your bookkeeper has to reconcile. Addison Lee is a genuinely strong alternative for prime London property work — they have an established chauffeured product and long-standing client base — and for a single high-value client where money is not a factor, they are worth considering. Where we typically win is on price for the same wait-and-return model, on nationwide coverage outside London, and on the business-portal reporting that lets your finance team allocate rides back to specific listings. ## Can I set spending limits per agent or branch? Yes. Every agent booking under the agency's business account can be given an individual spend cap — daily, weekly, or monthly — and each branch can have its own budget envelope. Bookings that would exceed the cap either trigger an approval request to a nominated manager or are blocked outright, depending on how you set the policy. This matters for agencies where associates and negotiators have booking rights but you need to keep transport costs proportionate to the value of the instruction. Departments in our system map naturally to branches. A London-based agency with offices in Chelsea, Notting Hill and Marylebone can have three departments each with their own cap, their own approver, and their own line on the monthly invoice. Reporting can then be sliced by department to see which branch is generating what transport spend, and whether that spend is being recovered from vendors or absorbed by the business. ## How does monthly VAT invoicing work? On the first working day of each month, we issue one consolidated PDF invoice covering every ride your agency's users booked in the previous calendar month. VAT is calculated at the UK standard rate of 20 percent and itemised per ride, not just totalled at the bottom. Each line on the invoice includes the ride date, the booking reference, the agent's name, the pickup and drop-off (or route summary for multi-stop days), the base fare, the wait time in minutes, and the VAT amount. The invoice is emailed to your nominated accounting inbox and is also downloadable from the business portal in PDF and CSV. For agencies who prefer to reconcile against specific listings, each ride can be tagged with a client reference or listing code at the point of booking. Your accounts team can then filter by that reference to isolate the rides being recharged to a vendor on a marketing budget, or the rides being expensed against a specific instruction. The CSV export makes this straightforward to pull into Xero, Sage, QuickBooks, or your practice management system. ## What data does the reporting include? The business portal reporting shows spend by agent, by branch, by client reference, by day of week, by vehicle class, and by wait time versus journey time. You can see, for example, that your Kensington branch is spending significantly more on wait time than journey time — which usually indicates viewings are overrunning and could be scheduled more tightly. Or that a particular agent's average booking value is double the branch mean, which might mean they are handling higher-value instructions or might mean they are booking unnecessarily large vehicles. We do not currently provide a live occupancy dashboard or predictive analytics, and we are honest about the fact that the reporting is descriptive rather than prescriptive. It tells you what happened, in enough detail to inform decisions, but it does not automate the decisions themselves. Larger agencies typically pull the monthly CSV into their own BI stack for deeper analysis. ## Is CabsOn GDPR-compliant for storing client data on viewings? Yes. We are a UK-registered business, ICO-registered as a data controller for our own users and as a processor when we handle personal data on behalf of your agency. Any client name, phone number, or address entered against a booking is stored in the UK, encrypted at rest, and retained only as long as needed for operational and HMRC purposes. Some agencies prefer not to store client names against bookings at all — using labels like "Viewing 1" or the internal listing code — and our system supports that. Our standard Data Processing Agreement is available on request and forms part of the business account onboarding for agencies that require one. Under UK GDPR, your clients have the usual rights of access and erasure, and we can respond to subject access requests routed through your agency within the statutory 30-day window. ## What vehicle classes are available? Standard saloon (Toyota Prius, Skoda Octavia and equivalent) for typical viewings. Executive (BMW 5 Series, Mercedes E-Class) for prime London instructions or overseas HNW clients where the vehicle matters as part of the experience. MPV or 6-seater for a viewing party larger than four — extended family looking at a house together, or an agent bringing along a valuer and a photographer. Wheelchair-accessible vehicles are available in London, Manchester, Birmingham, Leeds and Edinburgh with 24 hours notice. The vehicle class is selected at booking and priced per journey. Most agencies default to standard saloon for typical viewings and only step up to executive for named prime instructions where the client-facing impression justifies the roughly 40 percent premium.
Beyond the core proposition — one contract, one invoice, one portal — several operational details determine whether multi-viewing days actually reduce the workload for estate agency staff. Estate agencies with cross-London and cross-Manchester operations use us for a mix of viewings, and we cover mainland UK with reliable coverage inside major urban catchments. Our platform is designed to sit alongside the tools your agency already runs. We do not require you to move viewings out of your existing diary system. Instead, we make it easy to route bookings from wherever your agents already plan their day. Reapit, Alto, Jupix, Street.co.uk and Dezrez users typically continue managing viewings in their CRM and simply forward the confirmed slots to their CabsOn business account by email, WhatsApp, or via the business portal's bulk-booking screen. Where an agency has stronger volume across a specific city — often London, Manchester, Birmingham, Leeds, or Edinburgh — we can set up a shared inbox that auto-forwards viewing confirmations into the booking queue. For agencies handling significant volumes of overseas viewings, particularly prime London firms working with international buyers, we support multi-language driver requests. Where possible we assign drivers who speak Mandarin, Cantonese, Arabic, French, or Russian for viewings booked more than 24 hours in advance. This is a best-effort service; we cannot always guarantee a specific language, but for planned viewing days with named international clients, we have historically matched language 90 percent of the time in central London. On geographic coverage, we operate across mainland UK with strong density in London (all 33 boroughs), Manchester, Birmingham, Leeds, Sheffield, Liverpool, Bristol, Nottingham, Edinburgh, Glasgow, and Newcastle. For rural viewings — country houses, farms, development land — we book in advance rather than expecting on-demand availability, and we recommend giving us at least 4 hours notice for postcodes outside major urban catchments. Regarding data protection, every ride record is stored in accordance with UK GDPR. Client names attached to viewings are treated as personal data under the Data Protection Act 2018 and can be pseudonymised on request — some agencies label viewings only as "Viewing 1", "Viewing 2" rather than by client name, and our system supports both approaches. We are registered with the ICO and our full DPA is available on request. HMRC-recognised VAT invoices are issued monthly with your company's registered address and VAT number pre-populated on every invoice, meaning your accounts team can reclaim input VAT without additional processing. Finally, on driver conduct: our drivers assigned to property work are briefed to remain in the vehicle unless invited into the property, to keep the car interior clean between viewings, and to maintain professional dress. Where an agent needs additional discretion — for example a high-profile client viewing a prime London property — we can note this on the booking so that driver behaviour matches the sensitivity of the appointment.

FAQs

Frequently asked questions

How does the driver waiting between viewings actually work?

You book one continuous journey with multiple stops. The driver stays with the car outside each property while your agent shows clients round, then drives to the next viewing. Wait time is metered by the minute and appears as a separate line item on your monthly VAT invoice, so you can see exactly how long was spent at each property.

Do you charge per viewing or as one continuous booking?

One continuous booking. This is almost always cheaper than dispatching a fresh cab for every property, because you avoid the minimum fare each time and you pay only the metered wait rate — typically 30 to 45 pence per minute — while the driver is stationary. On a 5-viewing day this can save 30 to 50 percent versus separate rides.

Can we add or remove stops on the day of the viewing?

Yes. Your agent can add a stop live from the CabsOn app or by calling our operations desk, and the driver receives the updated route immediately. If a viewer cancels, the agent can remove that stop and the day's route recalculates. Changes made in the vehicle are logged and billed accurately, so the invoice matches what actually happened.

How does invoicing work for an estate agency?

Your agency receives one consolidated PDF VAT invoice on the first working day of each month, covering every viewing journey from the previous calendar month. VAT is itemised per ride at the standard 20 percent UK rate, and each line references the booking date, agent name, and route so it can be reconciled against your client accounts.

Can we assign viewings to specific agents so we know who used the car?

Yes. Every ride is tagged to the agent who booked it in the CabsOn business portal. Your admin can filter by agent, branch, or client reference. This is how most agencies allocate transport costs back to specific listings or negotiate driver-and-vehicle recharges to vendors on prime instructions.

What happens if a viewing runs long or a client is late?

The driver waits. Wait time is billed by the minute at the agreed rate, and there is no upper cap unless you set one. If a viewing overruns by 20 minutes, that 20 minutes is added to the invoice at the wait rate. Some agencies set a soft alert at 15 minutes so the agent gets a nudge to wrap up, but this is optional.

Is this cheaper than using Uber or Bolt for each viewing separately?

For multi-viewing days, yes, almost always. Uber and Bolt charge a fresh minimum fare and pickup surcharge for every trip, plus surge during peak periods. Consolidating into one booking with metered wait time typically saves 25 to 40 percent on a day of 4 or more viewings, and you get one VAT invoice rather than dozens of individual receipts.

Do you cover viewings outside major cities?

Yes. We cover mainland UK. For rural viewings — country houses, farms, development plots — we ask for at least 4 hours notice so we can position a driver, because on-demand availability outside urban centres is limited. In central London, Manchester, Birmingham, Leeds and Edinburgh we can usually respond within 15 minutes.

Can our clients be picked up separately and joined for the tour?

Yes. A common setup is: agent picks up at the branch, driver collects the client from their hotel or home, everyone converges at the first viewing. The route can include as many pickup points as required. You pay for one journey with multiple stops rather than dispatching separate cars, which keeps the day tidy and the invoice simple.

Do you handle overseas or high-profile clients discreetly?

Yes. For sensitive viewings — high-value prime instructions, celebrities, overseas HNW clients — we can flag the booking as discreet, assign a driver briefed for confidentiality, and label the ride only by an internal reference rather than the client's name. We also match language where possible for Mandarin, Arabic, French and Russian speakers given advance notice.

How do we handle expenses when the vendor is paying for the transport?

You can tag rides against a specific client reference or listing code when booking. At month-end, your accounts team can filter the invoice by that reference to isolate rides recharged to the vendor. Some agencies pass the cost through at cost plus VAT; others include it in the fee. The reporting supports either model.

What if the driver is late and we miss a viewing slot?

If the driver is late through our fault — vehicle breakdown, dispatch error — we credit the affected leg. Report it via the business portal or your account manager within 48 hours and we investigate the GPS log. Where a viewing was genuinely missed, we typically credit the full leg rather than negotiate partial refunds.
