Yes — you can book a taxi for a client in London without them installing the CabsOn app or creating an account. We call this a guest booking, and it is one of the most-used features of our corporate accounts. You log in to the Cabson business portal, enter the passenger's name, their UK mobile number, the pickup address, the destination, and the time. That is it. The passenger receives an SMS with the driver's name, the car make and registration plate, and a live tracking link that opens in any web browser. Can I book a taxi for someone else in London without them having the app?

Yes. Log in to your Cabson corporate portal, enter the passenger's name, mobile number, pickup and dropoff, and confirm. The passenger receives an SMS with the driver's name, car, registration and a live tracking link. They do not need the CabsOn app or an account of any kind.

How does the passenger know the driver has arrived if they do not have the app?

We send an SMS when the driver is dispatched, another as they approach, and a final one when they arrive at the pickup point. Each SMS includes a live tracking link that opens in any browser, so the passenger can see the car moving on a map without downloading anything.

Does the passenger need to give us their email address?

No. We only require their name and a UK mobile number. Email is optional. If provided, we send a booking confirmation. If not, the SMS thread is the only communication channel and no marketing follows.

Who pays for the ride — the passenger or my company?

Your company pays. Every guest ride is billed to your corporate account and appears on your monthly consolidated invoice. The passenger sees no fare, no payment screen and no card prompt. They step out of the car when they arrive.

Can I book a return journey or hold a car for the passenger?

Yes. When creating the booking, tick 'return journey' and specify the return pickup time and location. You can also schedule a wait-and-return, where the driver waits at the destination for up to two hours. Waiting time is billed at a per-minute rate quoted at booking.

What happens if the passenger's plans change last minute?

The passenger can reply to any of our SMS messages to reach our operations team, or call the number in the message. We adjust the pickup time, change the destination or cancel on their behalf. You receive an email notification of any change so your team stays informed.

Can I book a taxi for a client outside London?

Yes. Our corporate account works across every city we serve including Manchester, Birmingham, Leeds, Edinburgh, Glasgow, Cardiff and every UK airport. Guest bookings work identically wherever the pickup is — the passenger only needs a UK mobile number.

How do we recharge the cost to the client we booked the taxi for?

Attach a purchase order number, matter reference or project code when creating the booking. That reference prints on the invoice line item, so your finance team can filter by reference and produce a client-billing report showing every ride booked to that client.

Is the passenger's phone number stored or used for marketing?

The phone number is stored for the ride and 90 days after for dispute resolution, then automatically deleted. It is never used for marketing, and guests never receive promotional messages from us. This is covered under UK GDPR legitimate interest for the operational purpose only.

Can we set spending limits on guest bookings by department?

Yes. Guest bookings draw against the same department budget caps as any other ride. If your marketing team has a monthly cap of two thousand pounds, guest client rides count towards that cap and the booking coordinator sees remaining budget before confirming.

What if the passenger does not speak English?

Our SMS updates can be sent in the passenger's preferred language on request when the booking is created. Our drivers use in-app translation for basic communication, and our 24/7 support line has multilingual staff. Set the language preference in the booking notes.

How is this different from just calling a local minicab firm?

You still get a licensed local car, but you also get a single monthly invoice with 20 percent VAT itemised, cost centre coding, budget controls, live tracking, an audit trail of every ride, and one account across every UK city. Minicab firms typically bill per ride and cannot consolidate.
